Job Title: Administrative Assistant
Location: Remote, but need to be located in the Greater Toronto Area
Duration: 12 months (possibly longer)
Position Overview:
We are seeking a detail-oriented and highly organized Administrative Assistant to provide coverage during a team member’s maternity leave and potentially assistance after the return of the team member. This role is critical to ensuring the smooth operation of our firm and involves a variety of administrative tasks to support our law firm.
Key Responsibilities:
- Administrative Support: Provide general administrative assistance to the firm.
- Client Interaction: Respond to client inquiries and answer/direct phone calls.
- File Organization: Maintain electronic filing systems to ensure accessibility and accuracy.
- Billing and Invoicing: Assist with client billing, tracking invoices, and maintaining financial records.
- Banking and Mail – sort mail, deposit cheques, and assist with payments.

- Event Coordination: Help organize virtual meetings, webinars, or online courses for clients.
- Other Duties as Needed: Provide support on ad hoc projects and tasks as required.
Qualifications:
- Previous experience in an administrative role, preferably in a legal or professional services environment.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite, Adobe Acrobat, and cloud-based tools (e.g., Dropbox, Google Workspace).
- High attention to detail and accuracy in all tasks.
- Ability to work independently in a remote environment.
- Familiarity with legal terminology and billing software is an asset but not required.
