Job Title: Administrative Assistant

Location: Remote, but need to be located in the Greater Toronto Area

Duration: 12 months (possibly longer)

 

Position Overview:

We are seeking a detail-oriented and highly organized Administrative Assistant to provide coverage during a team member’s maternity leave and potentially assistance after the return of the team member. This role is critical to ensuring the smooth operation of our firm and involves a variety of administrative tasks to support our law firm.

 

Key Responsibilities:

  • Administrative Support: Provide general administrative assistance to the firm.
  • Client Interaction: Respond to client inquiries and answer/direct phone calls.
  • File Organization: Maintain electronic filing systems to ensure accessibility and accuracy.
  • Billing and Invoicing: Assist with client billing, tracking invoices, and maintaining financial records.
  • Banking and Mail – sort mail, deposit cheques, and assist with payments.

  • Event Coordination: Help organize virtual meetings, webinars, or online courses for clients.
  • Other Duties as Needed: Provide support on ad hoc projects and tasks as required.

 

Qualifications:

  • Previous experience in an administrative role, preferably in a legal or professional services environment.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite, Adobe Acrobat, and cloud-based tools (e.g., Dropbox, Google Workspace).
  • High attention to detail and accuracy in all tasks.
  • Ability to work independently in a remote environment.
  • Familiarity with legal terminology and billing software is an asset but not required.
